1. If you cancel
Send your cancellation in writing to secretary.icmbps@proton.me. The refund depends on when we receive it:
| Cancellation received | Refund |
|---|---|
| On or before 24 November 2026 | 75% of the fee, less a processing charge of 50 USD |
| 25 November to 9 December 2026 | 50% of the fee |
| After 9 December 2026, or if you don't attend | No refund |
2. Visa refusal
If your Australian visa is refused, send us the refusal letter before the conference starts and we'll refund your fee in full, less a processing charge of 50 USD,, whatever the date. This does not apply if your application was lodged late or was incomplete.
3. Sending someone in your place
You can transfer your registration to a colleague in the same category at no charge until 17 December 2026. Email us their name and details. Presenter registrations can only be transferred to a co-author of the same abstract.
4. If we change or cancel the conference
- Cancellation: if we cancel ICMBPS 2026, you'll receive a full refund of your registration fee.
- Postponement or change of venue: you can keep your registration for the new date or venue, or ask for a full refund within 30 days of our announcement.
- Events outside our control, such as natural disasters, pandemics or government restrictions: we'll offer a transfer or, where possible, a partial refund, and will explain the options at the time.
We aren't responsible for travel, accommodation or visa costs, so we recommend travel insurance.
5. How refunds are paid
Refunds go back to the original payment method within 10 business days of approval. Bank or currency conversion charges are not refundable.
6. Your consumer rights
This policy does not limit any rights you have under the Australian Consumer Law.
